Privacy Policy

Brain Flex respects your privacy. This policy explains what information we collect, why we collect it, and how we keep it safe.

1. Information we collect

To operate the tutoring platform we may collect:

  • Your full name.
  • Your email address.
  • Your phone number and WhatsApp number.
  • Student details such as grade or level, subjects, location and lesson preferences (provided by the student or their parent/guardian).
  • Payment information such as the transaction reference, payment date and payment confirmation screenshots you upload.
  • For tutors: qualifications, identity and verification documents you upload.

We do not store full card numbers or banking passwords on the platform.

2. How we use your information

Your information is used only to:

  • Provide tutoring services and match students with suitable tutors.
  • Process and verify payments, subscriptions and tutor payouts.
  • Improve the platform, its features and reliability.
  • Communicate with you about bookings, classes, support requests and account activity.

We do not use your information for any unrelated purpose without your consent.

3. Sharing of information

We never sell your personal information to third parties. Limited information is shared only where it is necessary to deliver the service — for example, a tutor and a student see each other's contact details once a booking or hire is confirmed, and administrators may access records to verify payments or resolve disputes.

We may disclose information where required by Botswana law or a lawful request from a competent authority.

4. How we protect your data

  • Access to accounts is protected by passwords and secure sign-in.
  • Data is stored on secured, access-controlled infrastructure and transmitted over encrypted connections.
  • Only authorised administrators can access verification documents and payment records.

No system can be guaranteed to be perfectly secure, but we take reasonable steps to safeguard your data.

5. Children and parents

Accounts for learners under 18 should be created and managed by a parent or guardian. Parents may request access to, or correction of, their child's information at any time.

6. Data retention

We keep your information for as long as your account is active, and afterwards only as long as needed for legal, accounting or dispute-resolution purposes.

7. Your rights

  • Request a copy of the personal information we hold about you.
  • Ask us to correct information that is inaccurate.
  • Ask us to delete your account and associated data, subject to legal record-keeping duties.
  • Opt out of non-essential communications.

Contact us using the details below to exercise any of these rights.

8. Changes to this policy

We may update this policy from time to time. Material changes will be communicated in the app or by email. Continuing to use Brain Flex after an update means you accept the revised policy.
